2025 Cars In The Park Volunteer Sign Up

Cars In The Park is a car/bike show with a 50/50 raffles, vendors of all varieties, music, and food, an event for the whole family. It is held in the Whitin Community Center's Whitin Park on August 16, 2025 from 10am-3pm. We are looking for help with: park clean up, setup, take down, collecting vehicle entrance fees, 50/50 and maintenance.

Volunteer Check In Coordinator

This person will need to be point person on day of event. You will check in volunteers and direct them to their assigned location and give detailed directions on what to do at each location. (based on Tammy's description of the job) You will also collect money drops, check on volunteer wellbeing and hand out water and pizza. You will need to be somewhat mobile. You will work in tandem with Parking Lead Coordinator who is responsible for the whole parking team. Must be a WCC Employee. Please speak with Tammy first if want to register as volunteer for job.

Venue Setup-Help Prior to Saturday

Getting the park ready this could include setup of tents, staking out vendor spots, and hanging up signs. Also cleaning branches and other obstacles prior to event, tree trimming, etc. Putting out directional signs, etc.

This will be general cleanup of the park, branches, obstacles, tree trimming, pavilion, etc.

General cleanup continues, organize tennis shack, moving supplies up to shack, general help.

This will be setting up tents, staking out vendor spots, labeling hazards, hanging signs, fire lane creation etc.

Venue Setup - Day of Event

Setup of tables, chairs, stations, trash barrels, etc.

Vendor Check In and Direction

Will check in vendors at gate and helping direct them to proper location as well as reminding them of rules.

Collecting Entrance Fees From Vehicles

Handling the money for vehicle show registration fee, handing out registration sticker and flyer. Also directing vehicles to the parking attendants. (Must be 18+)

Parking Team Lead Coordinator

This individual will be responsible for coordinating all other vehicle parkers and dealing with any issues that may arise. Must be over 18 and be comfortable communicating with participants and volunteers.

Will help to direct vehicles where to park throughout the park. Will have to follow the outlined map and be able to clearly direct vehicles to currently assigning areas. Will need to be able to get basic understanding of parking patterns and work well with other volunteers. Must be able to verbally protect fire lanes and no parking zones.

Must be over the age 18. Will require small amount of training prior to day of event.

Directing Vehicles in Whitin Park

Registration Table at Pavilion

Will be responsible for checking in all entries, making sure registration forms are filled out, and goodie bags are given out to proper individuals. (pre-registered as well as walk in) Will also answer questions and/or direct people. These individuals must be able to be heard clearly over a loud environment and be comfortable with customer interactions.

Donation Collection Jars and Program Flyer Handout at Main Entrance

Will be responsible for being at, (1) main entrance (1) Lower path merge, with donation jar available as well as handing out program flyer handout so people are aware of location of vendors, times, etc.

Photographer

Computer Inputting Registration Forms

This job will require good computer skills in excel, quick and accurate typing skills to input all registration forms as they are collected. This is time sensitive so will require quick and accurate data entry skills. Will also make sure all tally information is accurate, merge the two list to create the winners. Must supply Certificates completed for the awards ceremony. (Must have prior Approval by Event Chair before registering) Must be over the age of 18.
